Things You Need to Know About Your Time & Payroll
· The timekeeper will send out an email every Monday (unless a holiday) to any employee that has an issue with his/her time/payroll. It is important to check your email at the beginning of every week to insure that you are paid correctly!
· The payroll deadline is every other Wednesday at 2:00 p.m.
· If you do not respond to the email by the payroll deadline, then you will receive LWOP (leave without pay) or no time for a shift if you missed a punch until you submit the appropriate paperwork. Paperwork submitted after the deadline will be added to the following check.
· Payroll Forms:
o Request for Leave form: Used for PTO (paid time off), ESL (extended sick leave), LWOP (leave without pay) and administrative leave. PTO must always be used for sick calls and vacation days. You have the option of using LWOP if you are given a holiday/cancelled, then you can choose to use LWOP or PTO.
o Time Entry Form: Used for missed punches, education time, floats, etc.
· No early birds allowed! Please do not clock in early. If you have a shift that begins at 7:00, the very earliest you can clock in is 6:53. The exception is if you are a charge nurse for that shift. [HR policy 29]
· Tardies are counted as 1 minute past the start of your shift. More than 3 tardies in a rolling 6 month period is considered an occurrence. [HR policy 11]
· Missed punches should be kept to a minimum. More than 3 missed punches in a one month period count as an occurrence. [HR policy 29]
· You should also not be clocking out late unless authorized by your manager; no more than 7 minutes after the end of your shift. (example: you are to leave at 7:30 pm you cannot clock out after 7:37pm). [HR Policy 29]
· According to unit policy: if you’ve worked your scheduled hours/FTE, then you’re not eligible to use PTO for sick call outs, holidays/low census or vacation to bring you over your FTE. The only exception is if you work an official MUSC holiday and would like to cash-in PTO.
· Overtime is accrued after you physically work over 40 hours in a week. PTO does not count towards overtime.
· E-Shifts: if you schedule yourself and are approved for an e-shift, then call in sick you will receive LWOP for that scheduled e-shift.
